Company settings hold the agency details that TravelFlow prints on generated documents such as invoices, quotations, vouchers and itineraries. The page subtitle says it plainly: “Configure company information for printable documents”.
Opening the Page
In the admin navigation, open the Settings dropdown and choose Settings > Company Settings. Only the Super Admin role can open it. Everything on the page is one long form; nothing is saved until you click Save Settings at the bottom. If you navigate away with unsaved edits you are warned first.
Basic Information
Upload a Company Logo, and enter a Company Name (required) and an optional Trading Name. The logo accepts any image file up to 2 MB; the hint under the picker reads “PNG, JPG, GIF up to 2MB”. A preview appears next to the picker with a Remove Logo link. Uploading a logo writes an audit entry immediately, before you save the rest of the form.
Contact Information
Phone Number and Email are required and are format-checked. You can also record an Emergency Number, an After Hours Number and a Website.
Physical and Postal Address
These are two separate sections. Physical Address takes Street Address, Suburb, City, Province, Postal Code and Country; City, Province and Postal Code are required and the postal code must be exactly 4 digits. Postal Address takes PO Box, Suburb, City, Province, Postal Code and Country and is not validated. Both default to South Africa.
Registration Details
- Company Registration Number — free text, no validation.
- VAT Number — if filled in, must be 10 digits starting with 4, otherwise you see “VAT number must be 10 digits starting with 4”.
- IATA Number — if filled in, must be 7 or 8 digits.
- CSD Number — free text, no validation.
Bank Account Details
Record Bank Name, Account Holder, Account Number, Branch Code, Account Type (Cheque, Savings, Current or Business) and SWIFT Code so clients paying by EFT see them on their documents. If you fill them in, the account number must be 7 to 16 digits and the branch code exactly 6 digits. Bank details are encrypted before they are written and decrypted when the page loads them back.
Document Settings
Two free-text areas: Disclaimer Statement and Terms and Conditions. Text entered under Terms and Conditions is printed on generated documents: on quotations and itineraries it replaces the built-in terms block (the first 20 lines are printed), and on invoices a Terms and Conditions block is added only when this field is filled in.
There is no payment-terms field and no currency field on this page — the platform default currency lives in System Settings instead.
Commission Settings
Default Commission Rate (%) is entered as a percentage: type 10 for ten percent, not 0.10. A line under the field confirms the value with “Currently: 10.0%”. Calculation Base chooses what the percentage is applied to: Markup Amount, Base Amount or Subtotal (Base + Markup).
These two values are read by the consultant booking forms when they compute the commission figure on a booking. Nothing in the markup-rule system overrides them; the Replace Commission option on a markup rule has no effect on this calculation.
The commission settings and the reporting rules stay inside the agency: only Super Admins, Consultant Admins and Consultants receive them. Clients and accountants receive only what documents print, bank details included.
Apply to Document Types
Five checkboxes — Invoices, Quotations, Vouchers, Itineraries and Reports — select which document types should display this company information. The first four are honoured by the matching document-creation screens: clear one and that screen stops loading company settings.
Saving and Auditing
Click Save Settings. If any field fails validation you see “Please fix the validation errors before saving” and the offending fields are outlined in red. A successful save writes a single audit entry under the SYSTEM SETTINGS module covering the whole settings record, not one entry per field.
