Two Administration screens deal with how work is shared between people: Groups, for organising users, and Delegations, for temporarily handing approval authority to someone else. Both are available to Organization Admins and Super Admins.

Groups

Open Administration > Groups (page heading Group Management). Groups are listed as cards showing the name, an Active or Inactive badge, the description, the member count, a Department-specific marker where one applies, and the number of attached policies.

Filter with the search box (name and description) and the status dropdown. Counter tiles show Total Groups, Active Groups, Total Members and With Policies.

Creating a Group

Click Create Group. The dialog asks for a Group Name (required) and a Description, and nothing else. A new group has no members.

Members

Each card lists its Members. Choose a person in the list under them and click Add, or click the remove icon beside a member. You can also tick groups under User Groups when you add a person in Administration > User Management. Only people of your own organisation can be members. Two admins changing the same group at once both keep their change.

On each card, the pencil icon edits the name and description, the tick or cross icon toggles the group between Active and Inactive, and the bin icon deletes it after a browser confirmation. Deleting a group does not delete its members.

Every change to a group, from creating it to adding or removing a member, is recorded in your organisation's audit log, with who made it.

Approval Delegations

Open Administration > Delegations (page heading Approval Delegations). A delegation lets an approver hand their approval authority to another user for a period — leave, a conference, sick leave. The delegatee then approves on the delegator's behalf, and those approvals are recorded in the audit log.

Anyone who is not an Organization Admin or Super Admin sees an Access Denied panel instead of the list.

Creating a Delegation

  1. Click Create Delegation.
  2. Choose the person under Delegate To, searching by name or email.
  3. Set a Start Date (required, no earlier than today) and optionally an End Date. Leaving the end date empty means the delegation runs until you revoke it.
  4. Optionally pick Approval Levels to Delegate from Line Manager, Department Head, Director, Chief Financial Officer, Chief Executive Officer and Minister. Leave it empty to delegate all of your levels.
  5. Optionally set a Maximum Amount per Approval in Rands. Leave it empty for no limit.
  6. Optionally restrict the Department Scope to specific departments. Leave it empty for all departments.
  7. Enter a Reason for Delegation (required).
  8. Leave Notify me when the delegatee approves requests on my behalf ticked if you want to be told about each approval, then submit.

Managing Existing Delegations

Delegations appear as cards with their current state. Counter tiles show Total Delegations, Active, Expired and Revoked, and the Filters panel lets you narrow the list to one of those states. Search matches the delegator and delegatee names and emails and the reason text.

A delegation ends in one of two ways: it reaches its end date and becomes Expired, or you Revoke it from the card, which ends it immediately. Revoked and expired delegations stay in the list for the record.

Tip: Use the amount limit and the level selection rather than delegating everything. Delegating only Line Manager approvals up to a modest amount covers routine absence without handing over sign-off on large trips.
