Bank reconciliation compares the transactions on your bank statement with the records in TravelFlow so you can spot missing entries, duplicates and bank charges you have not yet captured. The screen is at Accounting > Banking > Reconciliation.
Start With a Statement
Reconciliation works from bank transactions that have already been loaded. Upload happens on a separate screen: the Import Statement button here simply takes you to Accounting > Banking > Bank Statements. Supported files are CSV, TXT, XLSX, XLS, OFX, QFX and QIF; PDF statements are rejected. See the Importing Bank Statements article for the upload steps.
What the Reconciliation Screen Shows
The page lists reconciliation items with a status of matched, unmatched, pending or disputed, plus totals for matched, unmatched and pending items and the overall difference. You can filter by account, status and search text, and the current reconciliation panel shows the book balance, bank balance and difference for the period.
Matching
Automatic matching scores each candidate pair: up to 50 points for the amount, 30 for date proximity (same day scores highest, then within three days, then within seven) and 20 for a matching reference. A pair must reach 70 points to be treated as a match.
Matches are actually saved on Accounting > Banking > Auto Reconciliation and in the manual match dialog on Accounting > Banking > Bank Feeds. See the Auto Reconciliation and Bank Feeds article.
Unmatched Items
A bank line with no counterpart usually means something was never captured — a bank charge, interest, or a payment made outside TravelFlow. Capture it as an income or expense transaction so the ledger agrees with the bank. A ledger record with no bank line usually means the payment has not cleared, or was recorded in error.
Completing and Approving
Select the items you have worked through and click Mark as Reconciled. The button is disabled until at least one item is selected. Completing a reconciliation posts a journal entry for each adjustment recorded against it (bank fees are debited to Bank Charges, interest is credited to income) and stamps the reconciliation with who completed it and when.
A Finance Manager (Accountant Admin or Super Admin) then sees Approve Reconciliation, which is only offered once the reconciliation is in the completed state.
Completing or approving a reconciliation does not lock the underlying transactions — they can still be edited afterwards. If you need a hard cut-off, close the accounting period as well.
