Organization Settings

Administration > Admin Dashboard (page heading Organization Configuration) is where an Organization Admin builds out the reference data their organization runs on: departments, sections, user types, travel policies, budget codes, locations and purpose categories. Super Admins can open it too and pick which organization they are working on.

Choosing the Organization

An Organization Admin always works on their own organization. A Super Admin sees a Managing: dropdown at the top right of the page, which lists every organization and defaults to the first one. Everything below the dropdown reloads when you change it. If there are no organizations at all, a yellow notice offers a link to create one.

Check the Managing dropdown before you create anything. New records are attached to whichever organization is selected. As a Super Admin it is easy to add a department to the wrong organization because the dropdown pre-selects one for you.

The Seven Tabs

  • Departments — name, code, head of department and a total budget. The list shows the budget total, the amount still available and the head. Every department change is recorded in the audit log, with who made it.
  • Sections — subdivisions of a department. Each section has a name, code, description, parent department and optional manager.
  • User Types — name, code, description, a level of basic, intermediate, advanced or admin, and a permission list. These populate the User Type dropdown when you create a portal user.
  • Travel Policies — named policy records with a code, description, optional department and a set of rules.
  • Budget Codes — code, name, description, optional department, total budget and fiscal year. The list shows total, available and fiscal year.
  • Locations — name, code and a type of country, province, city or office, with an optional address and coordinates.
  • Purpose Categories — reasons for travel, each flagged as requiring justification or not, with an optional department.

Above the tabs is a row of counter tiles, one per tab; clicking a tile switches to that tab.

Every change on these tabs (adding, editing, switching on or off and deleting) is recorded in your organisation's audit log, with who made it and what changed. A section, budget code or purpose category can only name one of your own departments, and a location only one of your own locations as its parent.

Adding and Editing Records

  1. Select the tab you want.
  2. Click Add New. A dialog opens with the fields for that record type.
  3. Fill it in and save. The list reloads.
  4. To change a record later, click the blue pencil icon on its row. To remove one, click the red bin icon and confirm in the Confirm Delete dialog. Deletion cannot be undone.

Use the Search box above the list to filter the current tab by name, code or description.

Active and Inactive

Sections, user types, travel policies, budget codes, locations and purpose categories carry an Active or Inactive badge and a green tick button that toggles it. Making a record inactive keeps it for historical reference but stops it being offered on forms — for example, only active budget codes and active city locations appear on a new travel request, and only active user types appear when creating a user.

Departments do not have this toggle. A department is either present or deleted.

Quick Access Cards

Three cards near the top jump to the related screens: User Management, Groups Management and Delegations. They are shortcuts to the same items in the Administration menu.

Tip: Create departments before anything else. Sections, travel policies, budget codes and purpose categories can all be attached to a department, and the portal user creation form will not let you add a user without one.
Not the same screen as Settings. Administration > Settings is a separate page for company details, travel policy limits, notification recipients and integrations. It contains no departments or budget codes.
