Managing Organizations

Administration > Settings (page heading Organization Settings) holds your organization's own details and logo. It is a different screen from the Admin Dashboard, which is where departments, budget codes and the other reference lists live.

The page is one form, saved with Save Settings. Below it, cards take you to the settings kept elsewhere.

General

  • Organization Name (required), Registration Number and VAT Number.
  • Contact person: Full Name (required), Position, Email (required) and Phone Number (required).
  • Address: Street Address, City, Province (a list of the nine South African provinces) and Postal Code, all required, plus Country.

Organization Logo

At the bottom of the form, click Select Image to choose a logo: a PNG or JPG of up to 2MB. A progress bar shows the upload, and once it is done the image is previewed with Replace and Remove buttons.

Only your organization's admins (and TravelFlow's super admins) can upload, replace or remove its logo, and the logo can only be an image: nobody from another organization can change it.

The logo saves on its own. Uploading or removing the logo writes to the organization record immediately — it does not wait for Save Settings, and it cannot be undone by leaving the page without saving.

Settings Kept Elsewhere

  • Travel policy rules — spending limits, classes of travel and approval rules that bookings are checked against, on the Travel Policies tab of Organisation Admin.
  • Policy documents — the travel policy documents your people can read. Bookings are not checked against these.
  • Idle sign-out — how long your people stay signed in without activity.
  • Notifications — each person chooses which notices they receive, and how.
  • Slack, Teams and webhooks — send your organization's travel notices to the tools you already use. Chat messages, and notices about one person's own account (sign-in and security changes, support tickets, account deletion requests), are never sent there; they stay in TravelFlow. These services may store what they receive outside South Africa.
Tip: Fill in the registration and VAT numbers early. They are organization identity fields used on outgoing paperwork, and chasing them later is more effort than entering them once during setup.
