Clients are the contact records you attach to quotations, invoices and bookings. The client list only shows clients created under your consultant account, so keeping the details accurate means documents go to the right person the first time.

Opening the Client List

Click Clients in the top navigation bar. The page header reads Client Management and shows four counters: Active Clients, Total Revenue, Upcoming Trips and VIP Clients. If you are assigned to more than one organisation, an organisation selector appears next to the header buttons and filters the list.

Adding a New Client

  1. Click Add Client in the header of the client list (or the Add Client button on the consultant dashboard). The full form opens.
  2. Under Client Type, choose Individual or Corporate. The Basic Information fields change with your choice.
  3. Complete the required fields. For an individual that is First Name and Last Name; for a corporate client it is Company Name. Every client also needs an Email Address and a Phone Number.
  4. Fill in whatever else is useful. The form has sections for Contact Information (alternate email, mobile), Address Information (physical plus billing address, with a Billing address same as physical address checkbox), Travel Preferences (seat, meal, room, preferred airline, hotel chain and car rental), Financial Information (credit limit, payment terms, preferred payment method), Additional Information (tags, special requests, internal notes). The Marketing section only explains that clients decide about marketing themselves, in their own TravelFlow account: a consultant does not record it.
  5. Click Save Client. You return to the client list and the new record appears with status Active and loyalty tier bronze.
Tip: The new-client form saves a local draft while you type. If you leave and come back, a banner offers to restore the unsaved draft or discard it.

Editing Client Details

Open the row menu (the three dots at the end of a row) and choose Edit Client, or click Edit Profile in the client details panel. The same form opens in edit mode with the header Edit Client; the save button reads Update Client. Changes apply to documents you create afterwards. Documents that were already generated keep the details captured at the time.

Viewing a Client

Click a row (or the eye icon) to open the Client Details panel beside the list, which slides up from the bottom on a phone. The panel shows contact info, travel preferences, activity (joined date, last booking, rating and loyalty tier) and notes, plus buttons for Create Quotation, View Bookings, Email, Call and Edit Profile.

View Bookings lists the bookings made for that client record. It also lists the bookings from requests made through the traveller's own portal account: the record must be linked to that account, no other client record may be linked to it, and the booking must carry the record's email address. An email address alone does not place a booking there, because two client records can hold the same address. These bookings are therefore not listed:

  • a booking saved without choosing a client;
  • a booking from a request made through a portal account that the record is not linked to, or that another client record is also linked to, or that TravelFlow cannot confirm as a traveller's own (the account has no user profile, or no recognised role). Such a record shows only the bookings made for it, and its request bookings are counted when they carry its email address;
  • a booking from a request made through the linked portal account but saved with another email address;
  • a walk-in booking for a client with no portal account, such as a quotation converted to a booking or a hotel booked from the GDS search for a walk-in traveller. It is saved under the consultant who raised it, not under the client record.

View Bookings says how many of the bookings it left out carry the client's email address or portal account, and they stay in the full booking list. A left-out booking that carries neither, such as a walk-in saved with another email address, is not counted.

A booking from a request the traveller made through the linked portal account for someone else is still listed under them, as it was before: the booking keeps the requester's email address, not the other traveller's. Quotations and vouchers already keep the traveller's own address. Saving it on bookings too is a follow-up, and older bookings would keep the requester's address unless they are updated.

A fuller record page exists at /consultant/clients/<client id> with three tabs — Booking History, Quotations and Details. Nothing in the interface links to it yet, so you have to enter the address yourself. Booking History on that page is matched on the client's email address, and the Quotations tab is matched on the client record id. Invoices and vouchers are not shown there.

Important: The Bookings, Revenue and loyalty-tier figures on the client list are stored on the client record and are set to zero and bronze when the client is created. Nothing in the booking flow updates them yet, so treat them as manual fields rather than live totals, and check the booking list for real activity.

Searching and Filtering

Three controls sit above the list and apply as you type or choose:

  • Search clients matches on name, email address or company.
  • All Types filters by Individual, Corporate or VIP.
  • All Status filters by Active, Inactive or Pending.

There is no sort control — the list keeps the order it is loaded in and pages 20 clients at a time. Use Export in the header (Export CSV on a phone) to download the filtered list as clients-YYYY-MM-DD.csv with name, email, phone, company, type, status, bookings, total spent, loyalty tier and joined date.

Row Actions

The three-dot menu on each row gives you Edit Client, Create Quotation, Create Invoice, View Bookings, Call Client, Email Client, Change Status and Delete Client. On narrow screens the menu also includes View Details. Change Status opens a small dialog where you pick Active, Inactive or Pending; the change shows immediately and rolls back if the save fails.

Deleting a Client

Choose Delete Client from the row menu. A confirmation dialog asks whether you are sure and warns that the action cannot be undone. Confirming removes the client record itself.

Important: Deleting a client removes only the client record. Bookings, quotations, invoices and vouchers are stored separately and are left untouched — nothing is rewritten to clear a link. Booking History on the record page is matched on email address, so recreating the client with the same address brings that history back into view. View Bookings goes by the client record instead: bookings made for the deleted record stay in the full booking list but do not appear under the new one. Only bookings from requests made through the traveller's own portal account appear there again, once the new record is the only client record linked to that account.
Tip: Keep the email address current. Document delivery (quotations, invoices, vouchers) and the client's booking history both key off it.
