Your First Login

There are two ways to get a TravelFlow account. You can sign yourself up as a private traveller from the login page, or a platform super admin can create an account for you with a business role such as consultant, organization user, or accountant. TravelFlow does not send invitation emails — whichever route you take, you sign in at the normal login page with an email address and password.

Option 1: Sign Up as a Private Traveller

On the login page, click Sign up under “Don't have an account?”. That opens the Create Account form:

  1. Full Name — at least 2 characters. This becomes your display name.
  2. Email Address — the address you will sign in with.
  3. Phone Number (Optional) — you can leave this blank and add it later.
  4. Password and Confirm Password — the two must match.

Click Create Account. The account is created with the private user role and you are taken straight to the travel search page — there is no email confirmation step and no separate onboarding wizard.

Important: The sign-up form only warns you when a password is shorter than 6 characters, but the account is created against the platform password policy, which requires at least 8 characters plus an uppercase letter, a lowercase letter, a number and (unless your platform has turned that rule off) a special character. A 6- or 7-character password passes the form and then fails on submit with the policy message. Use a password that satisfies the full policy from the start.

Option 2: An Administrator Creates Your Account

Business roles cannot be self-registered. A super admin creates them from Admin > Users > User Management or in bulk from Admin > Users > Bulk Import, setting your name, email, role and organization at the same time.

No email is sent when the account is created, so the administrator has to pass you your first password out of band. When a single account is created, the administrator types the password. Bulk-imported accounts get a generated temporary password that is shown to the administrator in the import result, and those accounts are flagged so that you must set a new password before you can reach your dashboard.

Complete Your Profile

Nothing prompts you to finish your profile, so do it yourself after your first sign-in. Open your profile from the link showing your name at the right of the top navigation bar, then click Edit Profile on the Profile tab. You can change:

  • Full Name — how you appear to colleagues across the platform.
  • Phone Number — free text, shown in the format +27 xx xxx xxxx.
  • Position — your job title.

Click Save Changes when you are done. Your email address is fixed — the field is read-only and labelled “Email cannot be changed”. Your role, organization, join date and last login are shown above the tabs but are not editable here.

Add a Profile Photo

Click the blue camera button on the avatar circle and pick a PNG, JPEG or WebP image under 20 MB. An Adjust Photo window opens where you drag the image to position it and use the slider to zoom; click Save Photo to upload the cropped result. Once a photo is set, a red bin button appears next to the camera for removing it. If you do not upload a photo, the avatar shows a generic person icon — TravelFlow does not generate initials.

Set Your Preferences

The Preferences tab on your profile holds notification toggles under Channels (email, push, SMS) and Notification Types (travel alerts, booking confirmations, approval requests, system updates), plus Language & Region selectors for language and time zone. Click Save Preferences to store them.

Important: TravelFlow currently delivers notifications inside the app only, through the bell icon in the top navigation bar. The email, push and SMS toggles are saved against your account but no email or SMS notifications are sent yet, so do not rely on them for alerts you must not miss. Booking and document emails sent to customers are a separate feature and are not controlled by these switches.
Tip: Use a password manager to generate and store a unique password for TravelFlow. You can change it any time from the Security tab on your profile, and if you forget it, use Forgot password? on the login page to have reset instructions emailed to you.

Once your profile is filled in, see the Your First Login article for what happens when you sign in and where each role lands.
