Accounts Payable

Accounts Receivable tracks the money customers owe you. The screen at Accounting > Entities > Accounts Receivable is a read-only view built from the AR aging report: it lists unpaid, partly paid and overdue invoices and groups them by how long they have been outstanding.

The Tabs

Five tabs are shown: Overview, Customers, Invoices, Credit Notes and Aging Report. Only Overview, Invoices and Aging Report contain data. The Customers and Credit Notes tabs never load anything, so the Active Customers and Credit Notes figures on the Overview always read zero. Use Accounting > Entities > Customers for customer records.

Aging Buckets

Aging is measured in days past the invoice due date, not days since the invoice was issued. The underlying report uses five buckets:

  • Not yet due — the due date has not passed.
  • Current — 1 to 30 days past due.
  • 31–60 days past due.
  • 61–90 days past due.
  • 91+ days past due.

Note that “Current” on this screen means already overdue by up to a month, which is stricter than the common reading of the word.

Known issue — aging tiles: the 61–90 day and 90+ day tiles both display the 91+ figure, so genuine 61–90 day balances are not shown and the oldest balances appear twice. Generate the Aged Debtors report from Accounting > Financial > Reports when you need the correct split.

Chasing Overdue Invoices

The invoices list offers Send Reminder per row. It records the action in the audit trail and confirms on screen, but it does not send an email or an in-app notification to the customer — contact the customer yourself and treat the button as a log entry.

There is no notes field on this screen: the invoice rows are projected from the aging report with an empty notes value, so keep follow-up history in your CRM or client record instead.

Known issue — Record Payment: the Record Payment action on this screen only changes the numbers displayed in your browser. Nothing is written to the database and no journal entry is posted, so the payment vanishes on refresh. Record customer payments from Consultant > Documents > Payments instead, as described in the Invoicing and Payments article.

Bad Debts

There is no write-off feature. A bad-debt permission exists internally, but no screen, service or journal-entry builder implements a write-off, and the seeded chart of accounts has an Allowance for Doubtful Accounts (1210) but no bad debt expense account. To write off an irrecoverable debt today, create the expense account you need and post the write-off as a manual journal entry, then void or credit the invoice so it leaves the aging report.

Tip: Review aged debtors weekly. Chasing an invoice at 35 days past due is far more effective than chasing it at 95 days.
