An itinerary gives your client a day-by-day view of their trip. Where a voucher confirms one set of services, an itinerary lays out the whole trip in order: what happens on each day, at what time, where, and what it costs.
Where Itineraries Live
Itineraries sit under the Bookings menu: Bookings > Itineraries. The list shows only the itineraries you created. Search matches the itinerary name, the client name and the destination. There is also a status filter and a destination filter, though the destination filter is limited to a fixed set of options (Cape Town, Dubai, Mauritius, Kruger) — use the search box for anywhere else. Start a new itinerary with Create Itinerary.
Creating an Itinerary
- Click Create Itinerary on the itinerary list.
- Under Basic Information, fill in Itinerary Name, Client Name, Client Email, Main Destination and Number of Travelers. All are required. The client details are typed in here; there is no client picker on this form.
- Set the Start Date and End Date. The day-by-day framework is generated for you, one card per day, dated in sequence. Changing the dates regenerates the list; anything you have already added to a day that still exists is kept.
Building the Day-by-Day Plan
Each day card can be expanded or collapsed, and its title is editable — replace “Day 3” with something like “Cape Winelands” if that reads better. Use Add Another Day at the bottom to append a day beyond the date range; you can remove any day except the last remaining one, and the days renumber themselves.
Inside a day, add entries. Each entry has a Time, a Type, a Title, a Description, a Location, a Cost (ZAR) and an Included in package checkbox. The available types are:
- Flight — adds airline, flight number, route, cabin class, departure and arrival times.
- Hotel — adds property name, room type, number of rooms, check-in and check-out dates. The number of nights is worked out from those dates.
- Transport — adds vehicle type, pickup and drop-off locations and dates. The number of days is worked out from those dates. This is the type to use for transfers and car hire.
- Meal — for booked meals and dining reservations.
- Activity — tours, excursions, meetings and general events.
- Free Time — unscheduled blocks.
Each entry has Duplicate and Remove buttons. Entries stay in the order you add them — there is no drag-and-drop, and no way to move an entry to a different day. To reorder or move something, remove it and add it again where you want it. The Estimated Total at the top of the day-by-day section adds up the cost of every entry marked as included in the package.
Finish with Tags (comma-separated, e.g. family, adventure, luxury) and General Notes.
Saving
Three buttons sit at the bottom of the form:
- Print/PDF — generates the PDF without saving anything.
- Save as Draft — saves with status Draft.
- Create Itinerary — saves with status Sent. Note that this only sets the status; nothing is delivered to the client.
Either way you are returned to the list. Use Save as Draft while the plan is still moving.
Actions on the List
Each itinerary card carries a row of icon buttons:
- View Details — opens a read-only panel with the client, trip and day-by-day breakdown.
- Send to Client — generates the PDF in your browser and sets the status to Sent. It does not email anything: attach the downloaded PDF to your own message, or send it from the client's record.
- Duplicate — creates a copy named “Copy of …” in draft status.
- Download PDF — generates the branded PDF with the full day-by-day plan.
- Share — copies a link to the clipboard (or opens the device share sheet on mobile). The link points into the consultant portal, so it only works for colleagues who can sign in — it is not a client-facing link.
- Edit — available on Draft and Sent itineraries; reopens the builder.
- Delete — available on drafts only, and permanent.
Statuses
The status filter offers Draft, Sent, Confirmed, Completed and Cancelled. In practice the consultant screens only produce two of these: Draft from Save as Draft, and Sent from either Create Itinerary or Send to Client. The remaining statuses exist on the record but no button in the itinerary list or builder sets them.
