Quotations

The GDS Multi-Service Booking page is where you build a basket for a client. You pick which services you want, capture the traveller's details, search each service in turn, and end with either a quotation or a booking request. Open it from the consultant dashboard with the GDS Booking button, or from New GDS Booking in the Quick Actions panel.

Step 1: Select Services to Book

Five tiles are available: Flights, Hotels, Car Rental, Conference and Transfers. Click a tile to select it and click again to deselect. Your selection survives the trip to the search page and back.

Important: Only hotels return results today. Conference and transfer searches show the message requires GDS integration. Contact support to enable. and never run. Flight and car searches do run but their server routes have no supplier connected, so they always return zero results. In practice a basket can only be filled with hotels.

Step 2: Client Information

Client details are typed in directly — there is no client-list picker and no inline client creation on this page. Choose Private Client or Organization Department, then complete:

  • Initials and Surname — both required. Step 3 stays hidden until they are filled.
  • Email and Phone — optional here, but email is required before you can generate documents or send to the booking queue.
  • For an organization: a Department dropdown (a fixed list of national departments plus "Other Department") and a Cost Center field.

Step 3: Search & Add Services

The tab strip here does not contain the search forms. It only chooses which service the Search <service> button targets. Clicking that button leaves the page and opens the standalone search screen for that service, marked with a blue Building Multi-Service Itinerary banner and a Return to Basket button.

  1. Select a service tab and click Search <service>.
  2. Run the search on the search page.
  3. Click Add to Basket on your chosen result. For hotels this first opens the rate-selection dialog so you pick a specific, bookable room and rate.
  4. You are returned to the multi-service booking page with the item in the basket and a Added to basket! confirmation.
  5. Repeat for the next service.

The Booking Basket

The basket panel lists each item with its name, provider, details, and a three-line price breakdown: Base price, + Markup and Subtotal. Hover an item to reveal its remove button. Markup is not editable here — it is calculated from the active pricing rules at the moment the item is added.

Beneath the items the basket totals read Subtotal, Markup, VAT and Total. A flight's fare is passed through for the airline, so VAT on a flight is charged on the markup only; every other item is sold at the agency's own price, so its VAT is charged on the full price. VAT is part of what the client pays, so quote the Total, not the Subtotal.

Two guards apply when adding items. The same result cannot be added twice (Item already in basket), and every item must share one currency — mixing currencies is rejected with a message telling you to remove the existing items first.

Finishing the Booking

There are two end points, and they do different things:

  • Generate Quote and Book & Generate Documents (both buttons on the basket panel) take you to the quotation generation page. They require initials, surname and email; otherwise you get a prompt to supply them. Nothing is booked with the supplier at this point.
  • Send to Booking Queue appears only when the basket contains a hotel. It pre-books the rate, creates a consultant booking request, and takes you to the booking queue. Only one hotel per request is allowed — a second hotel is rejected with an instruction to send them as separate requests.

After sending to the queue, the request is not yet booked. You raise a supplier payment request, and only once a Finance Manager approves it can you finalize the booking from the queue.

Drafts, and Starting Over

The page header carries three controls: New clears the basket and client details (click it twice to confirm), Save stores the current basket, client details and service selection under a name you choose, and Load reopens a saved draft. Loading a draft restores the client details and basket contents.

Important: Drafts are stored in your browser's local storage, not in TravelFlow. They are only reachable through the Load button on this page, they do not appear under Bookings > My Bookings, and they are lost if you switch browser, device or profile, or clear browsing data.
Tip: Basket items go stale. An item is flagged for re-checking once its rate expiry passes or roughly 30 minutes after it was added, so build and finish a basket in one sitting rather than reloading an old draft and sending it straight to the queue.
