Travel Spend Analytics

Reports in the top navigation opens Reports & Analytics: month-to-date figures for your organization, the reports that have already been generated, and the tools to generate or schedule more.

What the Page Shows

The tiles at the top are calculated from your organization's travel requests: total spend for the current month with the change against last month, the number of trips, the average cost, and compliance. Below them is the list of generated reports, each with its category, when it was last generated, and the formats it is available in. The Report Categories panel counts them by financial, travel, compliance, analytics, and custom.

Generating a Report

  1. Click Generate Custom Report in the header or in the Quick Actions panel.
  2. Choose a Report Type: Travel Expenditure Summary, Department Comparison, Supplier Analysis, Policy Compliance Audit, or Custom Query.
  3. Set the start and end dates.
  4. Tick one or more formats — PDF, Excel, or CSV.
  5. Click Generate Report. The file downloads when it is ready.

Existing reports in the list have Preview and a download button for each available format.

Scheduling Recurring Reports

Click Schedule Report in the Quick Actions panel to open Schedule Reports. Click New Schedule and set:

  • The report — Monthly Travel Expenditure Report, Weekly Approval Summary, Department Budget Utilization, or Travel Policy Compliance Report.
  • A frequency of Daily, Weekly, Monthly, or Quarterly, plus the day of week or day of month where that applies, and the time of day.
  • One or more email recipients, added with + Add Recipient.

Saved schedules are listed on the same page, where they can be paused, reactivated, or deleted.

Important: A schedule is stored as a definition; there is no background job in the application that generates and emails those reports. Until that is in place, treat the schedule list as a plan and generate the reports yourself when they are due.

Reports or Analytics?

Use Reports when you need a file to send to someone. For interactive figures — spend by department, category, or traveller over a period you choose — use Administration > Analytics, which has its own PDF, Excel, and CSV export.
