A delegation records that someone else should act on your approvals while you are away. In TravelFlow a delegation always delegates your own authority — the delegator is whoever is signed in when the delegation is created.
Who Can Create One
The delegations screen is restricted to organization administrators and super administrators. Any other user who opens the URL sees an Access Denied page, so a chain approver who is not an administrator cannot set up a delegation for themselves — ask an organization administrator for help.
Creating a Delegation
- Go to
Administration > Delegations. The page is headed Approval Delegations and shows counts of total, active, expired, and revoked delegations. - Click Create Delegation.
- Delegate To * — Search by name or email. The list contains every active user in your organization; it is not filtered to approvers, so choose carefully.
- Start Date * and End Date (Optional) — Leaving the end date empty creates a permanent delegation that never expires.
- Optionally narrow the delegation with Approval Levels to Delegate, Maximum Amount per Approval, and Department Scope. Leaving each empty means "all".
- Reason for Delegation * — At least 10 characters. There is also a checkbox to be notified when your delegate approves on your behalf.
- Click Create Delegation to save.
What a Delegation Actually Changes
While a delegation is active, the "pending approval" notification for a request that would come to you is written to your delegate instead of to you.
Managing Existing Delegations
The list can be searched by delegator or delegate name, either email address, or the reason, and filtered by status (Active Only, Expired Only, Revoked Only). Each card offers View Details and, while the delegation is active, Revoke Delegation, which asks for a reason. There is no edit action: to change dates or scope, revoke the delegation and create a new one. Creating a delegation does not notify you or the delegate.
