Departments, sections, budget codes, locations, and purpose categories are all maintained on one screen: Administration > Admin Dashboard. Each of these is a tab, and every tab works the same way — a search box, an Add New button, and per-row buttons to activate or deactivate, edit, and delete.

Creating Departments

On the Departments tab, click Add New to open the Create Department modal. The fields are Name *, Code *, Total Budget, and Head of Department (typed in as text). Departments have no description field. Each row in the list shows the budget total, available amount, and head.

Adding Sections

Sections have their own Sections tab — there is no department detail page to open. Click Add New and complete Name *, Code *, Description, Department * (chosen from a dropdown), and Manager ID. Sections carry no budget code and no approval chain of their own.

Assigning Employees

Assignment happens on the user record, not on the department. In Administration > User Management, the create-user modal and each user's detail page have a required Department * select and an optional Section select that is filtered to the sections of the chosen department. A user belongs to one department and at most one section.

Approvals Are Per User, Not Per Department

Departments do not define approval stages. Each employee's record holds an ordered Approval Chain that you build by adding approvers and moving them up or down. That chain is what the approval routing uses. See the article on setting up approval chains.

Budget Codes

Budget codes are not a field on a department or section. They live on the Budget Codes tab, with Code *, Name *, Description, Department, Total Budget *, and Fiscal Year *. Setting a department on a budget code is optional — leave it as All Departments to make the code available to everyone.

The Other Tabs

  • User Types — Named permission sets with a level (Basic, Intermediate, Advanced, Admin) and a permission picker.
  • Travel Policies — Name, code, description, and department only; there is no rule editor here.
  • Locations — Country, province, city, or office entries. Locations of type city become the origin and destination suggestions on the travel-request wizard.
  • Purpose Categories — The options in the wizard's Purpose of Travel dropdown, each with a Requires Justification flag.
Tip: Configure Locations and Purpose Categories early. Until they exist, travellers get no city suggestions and have to fall back on Other (specify) for the purpose of every trip.
