Bookings in the top navigation opens My Bookings — the travel requests you submitted, split into a Consultant-Assisted tab and a GDS Self-Service tab. It is where you follow progress, chat to your consultant, and ask for a cancellation. It only ever shows your own requests.

Consultant-Assisted Bookings

This tab holds every request except self-service GDS bookings that are already complete, so requests still awaiting approval appear here too. Counters at the top show how many are Awaiting Booking, In Progress, and Completed. You can search by request number, destination, or purpose, filter by those three statuses, and narrow by departure date.

Click a row to expand it and see the trip details and, once the booking is done, its booking reference. Each row carries a consultant panel with:

  • A Chat button, shown once a consultant booking request exists for the trip — this is the reliable way to reach the consultant handling it.
  • View Documents, which opens Documents > Documents, where quotations, invoices, and vouchers are filed.
  • Phone and email icons.
Important: The consultant panel does not currently display the assigned consultant's name, phone number, or email — the fields are left blank, so the phone and email icons have nothing to dial or write to. Use the chat thread instead.

GDS Self-Service Bookings

This tab lists the bookings you completed yourself in the GDS portal — those with a booking reference — each showing the destination, dates, approved budget, and reference. New bookings are not started here: open your approved travel request and use Book Now.

A booking on this tab that has a reference and is not cancelled shows Request Cancellation. That opens a form to submit the cancellation for review — it is a request, not an instant cancellation, and the booking stands until someone actions it.

Payment Re-Authorization

If the card hold on a booking needs authorising again, an amber Card authorisation needed banner appears above the tabs, listing each affected booking with its amount and the reason: the price changed when your consultant went to confirm, or the card hold was released before the booking was confirmed. It shows only while the booking is still open with your consultant, not once it is booked, cancelled or waiting on a cancellation. Click Authorise again on a booking to authorise your card for it; you are only charged once your consultant confirms the booking.

Tip: Trips a colleague submitted with you as a traveller appear under their account, not yours. Ask them for the booking reference and documents. Only the person who submitted a trip can ask to cancel it from My Bookings; if they cannot, your organisation admin or your consultant can help.
