The policy library is where your organization publishes its travel policy documents. Every portal user can read them; organization administrators can create, edit, and delete them. Every change is recorded in your organisation's audit log, with who made it.
Finding a Policy
Go to Documents > Policies. The page lists every policy for your organization, newest update first. Use the search box (it matches title, description, and department) and the category filter — All Categories, Travel, Accommodation, Expenses, Approval, or Compliance.
Each card shows the category, a status of Active, Draft, or Expired, the owning department, the effective date, the version number, and how many files are attached. Clicking a card fills the Policy Details panel on the right with the document ID, version, last-updated date, and who the policy applies to.
Reading the Full Policy
Click View Full Document in the details panel to open the policy's own page. It repeats the description, department, version, effective date, last update, and who it applies to, and lists the attachments with View and Download buttons. Print / Save as PDF at the top prints the policy without the surrounding navigation.
Publishing a Policy (Administrators)
- Click New Policy in the page header.
- Complete Title *, Category *, Department *, Effective Date *, Version *, and Status *. Description is optional.
- Upload the policy files in the attachment area: PDF, JPEG, PNG or DOCX, under 25MB each. Files upload immediately and can be removed before you save. Any admin of your organization can later remove a file; nobody from another organization can.
- Optionally set Applies To — a comma-separated list of groups, for example "All Employees, Managers, Finance".
- Click Create. Use the pencil and bin icons on a card, or Edit Policy in the details panel, to update or remove it later.
Policies Here Are Documents, Not Rules
Publishing a policy here does not change how requests are validated — nothing in this library is evaluated when a request is submitted or approved. The separate rule engine is described in the Policy Compliance article.
