An exemption records a documented, time-boxed permission to depart from a travel policy or approval rule. Exemptions are managed on their own screen — they are not attached to an individual travel request.

Opening the Exemptions Screen

Go to Administration > Exemptions. The page, headed Travel Exemptions, shows counts for Pending, Active, Expiring Soon, and Total, and three tabs: Pending Requests, Active, and history (expired, revoked, and rejected). You can search and filter by exemption type.

Requesting an Exemption

  1. Click Request Exemption.
  2. Pick the Exemption Type *: Approval Bypass, Policy Override, Budget Override, Vendor Override, Class Override, or Advance Booking. A short description of the selected type appears below the tiles.
  3. Give it an Exemption Name * and, optionally, a description.
  4. Set Applies To * — a specific user, a department, or the whole organization — then choose the user or department if applicable.
  5. Optionally restrict it by trip type (domestic, regional, international), Maximum Amount, and Maximum Uses.
  6. Set Start Date * and End Date *. The form defaults to a 90-day window.
  7. Write the Justification * and click Submit Request. The exemption is created with a Pending status.

Reviewing, Revoking, and Deleting

Opening an exemption shows its full detail and, for a pending record, the Approve and Reject actions. Approval takes optional notes; a rejection requires a reason. Approving and rejecting are restricted to organization administrators by the server, as is revoking. An active exemption can be revoked with a reason; pending and rejected records can be deleted.

Important: An approved exemption is a record and an audit-trail entry — it does not change how a travel request is evaluated at approval time, and the approver is not shown it. Treat exemptions as the written authorisation for a decision people still make manually.
Tip: Name exemptions after the situation and the person, for example "Emergency travel — J. Dlamini, March". The list is searched by exemption name, the user it covers, their email, department, and the justification, so a descriptive name is what makes an old exemption findable.
