Exporting Accounting Data

The audit trail records who did what in the accounting system. It is at Accounting > Compliance > Audit Trail and is available to Accountant, Accountant Admin and Super Admin.

What Is Logged

Each entry records the timestamp, the user and their role, the action, the module, the entity affected, a success, failure or warning status, and a description. Where a record was changed, the before and after values are kept as well.

Actions include Create, Update, Delete, Approve, Reject, Post, Unpost, Period Close, Period Reopen, Period Lock, Login and Export. Modules include General Ledger, Accounts Payable, Accounts Receivable, Bank Reconciliation, Reporting and Authentication.

Finding an Entry

  1. Narrow the list with the action, module and status filters and a date range. These are applied when the log is fetched.
  2. Use the search box to filter the batch already on screen by user, entity or detail text.
  3. Click Load More at the end of the list to fetch the next batch. The Total Events figure is shown with a plus sign while more entries remain unfetched.
  4. Open an entry to see its full detail, including the before and after values of a change.

Exporting

Export Log downloads the entries currently loaded and filtered as a CSV with timestamp, user, role, action, module, entity, status and details. Because the export covers the loaded batch, use Load More first if you need a longer history in the file. A name or detail that starts like a spreadsheet formula (with =, +, - or @) is written with a leading apostrophe, so the spreadsheet shows it as text and never runs it.

Which Actions Reach the Log

Journal entry approvals, invoice status changes, credit note approvals, account deletions and period close, reopen and lock actions all write audit entries. Some screens log an action even though nothing else happened — the Send Reminder and Record Payment buttons on Accounts Receivable write an audit row without sending an email or saving a payment — so read an audit entry as “a user clicked this”, not as proof the downstream effect occurred.

System Monitoring

Accounting > Compliance > Monitoring is a different view: it tracks accounting entries that failed to save. It shows total errors, pending retries and resolved counts, lists the pending entries, and lets you retry a single entry or retry them all. Check it if a posting seems to have vanished — the failed write may be sitting here waiting for a retry.

Tip: When you reopen a closed period, the reason you type is stored on the period and in the audit trail. Write it as if an auditor will read it, because they will.
