As a private traveller you do not book directly with the supplier. Everything you submit becomes a booking request that a travel consultant picks up, pre-books and confirms. This article covers what happens between choosing a result and that hand-over.

Choosing What You Want

  • Hotels — Add to Cart (GDS Booking screen) or Book Now (Search Results page) opens the room-and-rate picker. Pick a rate with Select and it goes into your basket.
  • Flights and car rentals on the GDS Booking screen — Add to Cart puts the item straight into the same basket. The button changes to Added once it is there.
  • Flights and car rentals on the Search Results page — Book Now puts the item into the same basket, priced the same way, with the dates and number of passengers you searched for.

Checking Out a Basket

Proceed to Checkout opens the Checkout page. There you can change a hotel's dates (which re-prices the rate), enter the traveller details — Initials, Surname and Email are required, Phone is optional — and review the Subtotal, service fee, VAT on the service fee and Total. See Your Basket and Checkout for the full breakdown.

Checkout finishes in one of two ways:

  1. Pay Online (hold) — Creates the booking request and then authorizes the total on your card. This is a hold, not a purchase: you are only charged once a consultant confirms the booking.
  2. Forward to Consultant — Creates the same booking request without any payment. A consultant contacts you to arrange payment.
Important: There is no instant confirmation and no Proceed to Payment step that completes a booking. Paying online only places a hold; the booking itself is completed by a consultant.

What Happens Next

Submitting a request notifies the consultant team in the app. Your request appears immediately under Bookings > My Bookings with the status Pending, and it moves to Confirmed once a consultant completes it. Once a consultant is assigned, a Chat button appears on the booking — but the conversation itself has to be opened by the consultant first. See Contacting Your Consultant.

Documents are not generated by the booking itself. Quotations, invoices and vouchers appear under Documents only when your consultant creates or sends them.

Tip: Checkout pre-fills the traveller initials, surname and email from your account name — keep your profile name accurate so it matches your passport or ID. Passport details stored under Documents > Travel Docs are for your own reference and are not copied into bookings. A flight request asks for your passport number, its expiry and your date of birth, which the airline needs: TravelFlow keeps them encrypted, shows them only to the consultant booking your flight, and deletes them a week after your trip.
