Making Bookings

TravelFlow searches live supplier availability for flights, hotels and car rentals. The price on a result card is the supplier price plus the agency markup. It is not the final amount: checkout adds VAT on the markup on top of that, so the Total you are asked to authorize is higher than the card price whenever a markup applies.

Two Search Screens

The private area ships two separate search screens. They look similar but lead to different booking paths, so pick one and finish your booking there.

  • Search in the top navigation opens the GDS Booking screen. Results are added to a Booking Cart using an Add to Cart button.
  • Signing in lands you on a second search form — the page with the Flights, Hotels and Car Rental tabs and a Recent searches list. Its Search Results page uses Book Now — for hotels that opens a room-and-rate picker and adds the rate to your basket, while flights and car rentals go straight into the same basket.

There is no navigation item that returns you to that second form, and none that opens the Welcome back dashboard page whose Search Flights, Search Hotels and Rent a Car cards also open it (all three cards open the same form). The way back to that dashboard is the Back to Dashboard link at the top of Bookings > History.

Important: The two screens do not share their search forms, so moving between them mid-booking means re-entering your dates and guests. Only hotel searches carry residency, guest and room details through to the rate picker.

Filling In the Search Form

Both screens use tabs for the travel type — Flights, Hotels and Car Rentals on the GDS Booking screen, Flights, Hotels and Car Rental on the sign-in search form. The submit button always names the travel type: Search Flights, Search Hotels or Search Cars.

A hotel search needs more than a destination and dates:

  1. Destination — Start typing a city or hotel name and pick a suggestion. Choosing a suggestion pins the exact region the supplier searches.
  2. Check-in and Check-out — Check-in must be in the future and no more than two years ahead; check-out must be after check-in. Flight departure dates use the same two rules. A car pickup date only has to be in the future — there is no two-year cap on it — and the return date must be after the pickup date.
  3. Guests & Rooms — Set the adults per room and the age of each child. The sign-in search form allows up to 4 rooms.
  4. Residency — Labelled Nationality on the sign-in search form and Passport Country on the GDS Booking screen. Suppliers price some rates by residency. The dropdown always holds a value and defaults to South Africa, so a search is never rejected for a missing residency — check it yourself if you are not a South African resident.
Note: One residency is used for the whole hotel journey — the hotel list, the room-and-rate picker and your basket all price for the same country. Searches started from a search form, a deal card or a destination card carry the residency with them. If you open a Search Results link that carries no residency at all — an old bookmark, or a link someone shared with you — the page prices for South Africa throughout. Start a fresh search from Search or the sign-in search form if you need a different residency.

Filtering and Sorting Results

Hotel results on both screens use the same filter panel: hotel name, minimum and maximum price per night, minimum star rating, meal plan, a Free cancellation only checkbox, room type, beds, bedrooms, room features (such as wheelchair-accessible or a balcony), property type, hotel facilities, and a sort control (price, rating, distance or name). A Reset filters button appears once any filter is active.

Flight and car results on the GDS Booking screen have their own panels, and they are not the same:

  • Flights — Search (airline or route), Price minimum and maximum, Stops (Any, Direct, 1 Stop, 2+ Stops), a Refundable only checkbox and Sort by.
  • Cars — Search (make or class), Price per day minimum and maximum, Transmission (Any, Automatic, Manual), Minimum seats, an Unlimited mileage only checkbox and Sort by. There is no stops filter and no refundable checkbox on cars.

On the Search Results page, flights and cars instead share one sidebar with a search box, a maximum-price slider, Refundable, Direct Flights, Free Breakfast and Free Cancellation checkboxes, Clear All Filters, and a sort dropdown.

Every price filter and slider is in the currency the results are priced in, and its label names that currency. When the results come in more than one currency, the price filter is switched off with a note saying why, because two currencies cannot be compared without an exchange rate.

There is no side-by-side comparison feature. Hotel results can be switched between List and Map views.

Reading a Hotel Result

A hotel card carries its photos, star rating, address, distance from the centre, room type, occupancy and bedding, amenity icons and a review score. Badges show things like Breakfast included, Free cancellation or Non-refundable, WiFi and parking, and warnings such as Passport required or a required deposit. Cards do not open a separate detail page — More details expands the extra policy information in place.

Individual room rates and their cancellation deadlines appear only after you click Add to Cart or Book Now, which opens the room-and-rate picker. Each rate there shows its meal plan, its free-cancellation deadline or a non-refundable label, and a Select button.

Tip: Selecting a rate does not hold it. The room is only pre-booked with the supplier once a consultant picks up your request, so prices can still move between your search and that point.
