Contacting Your Consultant

Your profile holds your account details, your password and two-factor settings, and how TravelFlow notifies you. Checkout uses your account name and email to pre-fill traveller details, so keeping them accurate saves typing later.

Opening Your Profile

There is no Profile item in the navigation bar. On a desktop screen, click your name at the top right. The page has three tabs: Profile, Security and Preferences.

Your name is hidden on narrow screens and the mobile menu lists only Search, Documents, Support, Bookings, Explore and Sign Out, so a phone has no link to the profile page. The Edit Profile quick link sits on the Welcome back dashboard page, which is itself not in the navigation — the only link to it is Back to Dashboard at the top of Bookings > History. On a phone, use a desktop browser or go to /private/profile directly.

Updating Your Details

On the Profile tab, click Edit Profile to make the fields editable. You can change Full Name, Phone Number and Position. Your email address is shown but cannot be changed — the field is marked “Email cannot be changed”. Click Save Changes to commit, or Cancel to discard. Nothing is saved until you click Save Changes.

The profile does not store passport or ID numbers. Record those under Documents > Travel Docs instead.

Profile Photo

Click the camera button on your avatar to pick an image. PNG, JPEG and WebP are accepted, up to 20 MB. An Adjust Photo window opens first so you can zoom and drag the image inside the circle; Save Photo uploads the cropped version. If you already have a photo, a red button next to the camera removes it.

Password and Two-Factor Authentication

The Security tab holds Change Password. Enter your current password, then the new one twice, and click Update Password. A live checklist shows the four rules that are enforced:

  • At least 8 characters
  • One uppercase letter
  • One lowercase letter
  • One number

Special characters are allowed but not required. Your current password is re-checked with the sign-in service before the change goes through, so it must be correct.

Below that, Two-Factor Authentication has a Set up 2FA button that takes you to the two-factor setup screen.

Notifications, Language and Time Zone

The Preferences tab controls three channels — Email notifications, Push notifications (browser) and SMS notifications — and four categories: Travel alerts, Booking confirmations, Approval requests and System updates. The same tab sets your Language (English, Afrikaans or Zulu) and Time Zone. These settings do not switch off the in-app notification bell — see Notifications and Alerts.

The same tab has Travel deals by email, as the Deals page does: press Yes, email me these deals to agree, or Turn these emails off to withdraw. It is saved at once, without Save Preferences, and either place shows the same choice.

Important: Preference changes are not saved as you toggle them. Click Save Preferences at the bottom of the tab before leaving the page.

Asking for Your Account to Be Deleted

At the foot of the Security tab, Delete my account says what a deletion removes and what the law makes us keep. Click Request account deletion, add a reason if you wish, and click Send deletion request. Our administrators are told straight away and reply within 30 days; the tab then shows the date you asked. Asking again does not send a second request. Nothing is deleted until an administrator does it. You can also write to the Information Officer instead.
