When a consultant prices a trip for you, they issue a quotation. You can read the full breakdown, download it, and tell your consultant whether to go ahead — accepting or declining is done in TravelFlow, not by email.
Opening a Quotation
Your consultant sending a quotation raises a New Quotation notification in the bell menu, with a View Quotation action that opens the full view. That notification is the only route to the accept and decline actions — the Quotations tab under Documents only offers Preview and Download of the PDF.
The notification is raised when the quotation is sent to you, not when your consultant first saves it as a draft, so a quotation you have been told about is one you can act on. It makes no difference whether your consultant built it from a booking or from their client records: every quotation listed on your Quotations tab opens under your account from that link.
What the Quotation Shows
- Services — Each line with its supplier, quantity and total.
- Total — Subtotal, VAT and grand total.
- Terms & Notes — Payment terms, cancellation policy and any notes your consultant added, when they filled them in.
- Validity — The date it was issued and the date it is valid until.
- Your consultant — The name of the person who prepared it.
A status badge at the top reads Awaiting Your Response, Accepted, Declined, Expired or Booked.
Accepting or Declining
Accept Quotation and Decline appear only while the quotation has been sent to you and has not expired. Each opens a confirmation step before anything is recorded.
- Accepting confirms “Quotation accepted. Your consultant will be in touch shortly”, and the page shows that your consultant has been notified and will proceed with the booking arrangements.
- Declining marks it as declined and notifies your consultant, who can then propose alternatives.
Download PDF is available at any status.
Accepting a quotation is not a booking and takes no payment. Your consultant does the booking after you accept.
